What is a shared mailbox?

A shared mailbox allows individuals to send and receive emails from a single address that is not associated with their SRJC email account. These mailboxes are ideal for departments, offices or organizations.


Request a shared mailbox

SRJC employees can request a shared mailbox by submitting a request for a shared mailbox.

Before doing so, you will need the following information

  • Mailbox address: The part that will go in front of "@santarosa.edu"
  • Mailbox name: The name people will see when looking up your shared mailbox.
  • Owner(s) of the shared mailbox: The SRJC email addresses of each person that will manage the shared mailbox.
  • Users: The SRJC email addresses of all of the people that will need access to the shared mailbox and what permissions each person will need.
  • Mailbox Duration: Indication of whether the shared mailbox will be permanent or temporary. If temporary, please provide the date the mailbox will be needed until.

Shared mailbox permissions

The owner of a shared mailbox can request access for other employees. This can be requested during the creation of the mailbox or after via the shared mailbox permissions management form. Below are the mailbox permissions levels that can be assigned to an employee.

  • Send As - The user will have the ability to send emails as this mailbox. The recipient of an email message with this feature will only see the shared mailbox name.
  • Send on Behalf of - The user will have the ability to send on behalf of. The recipient of an email message with this feature will see both the primary person's mailbox name and the name of the shared mailbox.
